Hospitality and Events

We offer a range of products and services which are available across the whole campus and beyond. Whether for small team meetings, lunches or full-scale formal events, we pride ourselves on our friendly, professional and flexible service. We also provide a range of food and drink options to suit all dietary requirements.

Services outside these times and/or at weekends can be arranged with prior notice, and may be subject to an additional labour service charge.


Menus and how to book

We provide a wide range of food from packed lunches and fruit packs through to luxury sandwich platters. 

Please give us a minimum of 5 days notice to process your order. If there are any specific dietary requirements or allergies, please let us know at the same time as ordering.  We work to a minimum order number of 5 guests so don't forget to tell us how many you are ordering for.

General Information

  • Our services normally operate between 8.30am to 4.30pm. If our services are required out of these hours, we will always try and provide them if we have enough notice.
  • All prices are per person unless stated otherwise.
  • We do ask for a minimum of 5 guests per order. If possible, we will cater for lower numbers but please contact us to discuss that.
  • We reserve the right to make any changes to the menu.
  • We will happily provide options for delegates with special dietary requirements.
  • Please note lunches will always include options suitable for vegetarians.
  • Prices shown are exclusive of VAT.
  • We ask for bookings to be placed a minimum of five days before the event to allow us time to prepare the team and the food.

How to book a room/event

Estates and Campus Services arrange the room bookings for all external customers, and for the Committee Rooms on level 2 of the Kydd Building.

Our ethics

The University recognises its responsibility to provide healthy and sustainable food and drink to its customers. We will work to incorporate environmental, ethical and social considerations into the products and services provided.

We will also work alongside our suppliers and contractors to reduce any harmful environmental and social effects associated with the products and services we provide. Part of this commitment is to maintain our Fairtrade status and support the Rainforest Alliance and Marine Stewardship Council.

Event booking terms and conditions

Contract The requirements for your delivered catering, as detailed in your internal order, in conjunction with these terms and conditions, creates a contract between you and Commercial Services. “You” are the Department, Service or School responsible for commissioning and making payment for the delivered catering. In entering into this contract the department or school that you represent, and not any other person or organisation you make arrangements for, or on behalf of, is accepting responsibility to pay all charges relating to the contract. You cannot, without prior agreement, from Commercial Services transfer your  obligations under this contract to any other person or organisation
Location of delivery Please confirm the venue/location of the event
Room Layout/setup Please confirm how the event is to be setup. We operate a 'drop and go' service and tables are not provided by the Catering service. Clients should make local arrangements to ensure suitable facilities. Room setup's including tables can be arranged via
Placing Orders For orders that are fulfilled directly by the Catering Services then we require the order by 10am within five working days notice to guarantee. For placing, amending or cancelling your order, please ensure this is completed and authorised in Pecos. For orders that are fulfilled by a External Service Supplier then we require ten working days notice to guarantee. Orders should be placed via Pecos.
Amendments AMENDMENTS - Should you need to amend your catering request, please revise your Pecos Order within the required notice period. The revised Internal Order is automatically sent to the Catering team, who will send an amended confirmation for your records however this maybe subject to additional charges
Cancellations CANCELLATIONS - Orders can be cancelled up to 48 hours prior to your delivery. Cancellations out with this will be charged. Please note that weekends, bank holidays and University closure days are not included in this notice period.
Confirmed Bookings  Once you have submitted your internal order via the university Finance System, the user who raised the order will receive a confirmation email from Campus Services within 24 hours (excluding weekend days)
Booking out of hours BOOKING OUT OF NORMAL HOURS- standard service operating times are 8:30 to 16:30. Services out with these times may be subject to labour charge
Service Items are presented in disposable, table-presentable platters and containers. All items are supplied on the basis of self service. If you require staff to assist with the service of your catering, this must be indicated on your internal order at the time of booking. Staff assistance will incur an additional charge. Details of these charges can be found below. 
Labour Charge Labour is charged at £15 per hour per team member. When providing a quote  for an Event this will be based on the event requirements. Any labour cost increases or decreases will be reflect in the final charges. Labour is charged at £15 per hour per team member. When providing a costing the labour cost will be calculated based on the event parameters. Any labour cost increases or decreases subject to how the event progresses will be reflected in the final charges . Standard service operating times are between 8:30 to 16:30. Any events that require additional/dedicated labour during these times will be charged accordingly.
Dietary Requirements With advance notification we can cater for a majority of food allergies and intolerances. A breakdown of specific dietary requirements or a percentage of dietary provisions is required no later than 5 working days to the date of the event. Key allergies and intolerances are: LACTOSE FREE, GLUTEN FREE (wheat free), VEGETERAIN, VEGAN, HALAL, EGG and NUT ALLERGY
Nut Allergy We cannot guarantee foods are sourced in a nut free environment. Sandwiches are prepared in an environment in which sesame seeds are present
Disposables Charged at 10p per item: comprising of compostable plates, napkins, cups. Charges are to cover the administration, logistic, product and disposable costs
Cutlery, glassware and crockery Charged at 30p per head. Charges are to cover the administration, logistic, product and wash ware costs
Catering Equipment Dependant on the catering provision there maybe a requirement for the hire of additional catering equipment. If this is the case then the charge will be itemised
External service provider In the event an external supplier is required then the event will be subject to their terms and conditions. The Catering Services will liaise directly with the supplier in regard to service level and product provision and this will form the client - supplier relationship. Any circumventing of this will breach the services terms and conditions between the Catering services and the Internal client.
Drinks including alcohol We can offer an internal bar provision which comprises of a selection of bottled beers, glasses of wine and soft drinks. Spirits are not included in the range as standard and are available on request. LICENSING - we will advise if an Occasional License from DCC is required. A minimum of 28 days notice is required to obtain this. Drinks are offered on a charged as taken basis assuming the booked number of guests attends. We cannot provide a cash bar basis with all events requiring charging internally or via invoice. When alcohol is being dispensed then a staffing service cost will be automatically added to the event to ensure that a trained member of staff dispenses the alcohol as per The Licensing (Scotland) Act 2005.
Pricing All prices are listed exclusive of VAT. If the charges are to be made externally of the university then the charges are subject to VAT
Non-Disposable Equipment All items of non-disposable equipment supplied with your booking must be returned on collection. Campus Services reserves the right to charge accordingly for missing items.
Events beyond our Control Commercial Services reserves the right to alter or cancel any booking, that it cannot fulfill for reasons beyond its control including but not limited to: war or hostilities, riot or civil commotion, industrial action, epidemic, fire, flood or other natural disasters. In such circumstances every effort will be made to offer an alternative, comparable service.
