Information for employers
The Student Records Office within the Registry is often the first port of call for employers seeking information on current or former students.
On this page you will find information on the service provided by Student Records and Registry, including data protection and costs, and who to contact for personal references, and for information on current and former students.
1. Does the Registry provide references for students?
Student Records and Registry do not hold information which would allow us to complete a request for a personal reference for current or former students. This includes information on suitability for employment, time-keeping and attendance. Please note that the University Registrar does not hold information which would allow completion of a personal reference.
2. We have sent you a request for a personal reference for a current student
If you have provided the name and contact details of the member of staff who has agreed to provide the reference, we are happy to forward it for you. Otherwise, we will wait for you to provide this information. We will retain reference requests for forwarding for one week. You should send requests for personal references directly to the named referee, and contact them directly with any enquiries.
3. We are seeking a reference for a current student
If a current student requires a reference, he or she must provide you with the name and contact details of an academic adviser (for example programme, year or personal tutor) who the student has approached and who has agreed to act as a personal referee. Registry will hold any personal reference requests awaiting forwarding details for one week.
4. We need information on a current student’s dates of attendance
The student should contact Student Services, level 1, Library and request an official letter. There is no charge for this service for current students when requested by the student via Student Services. The student will be asked to complete the appropriate request form and confirm what should be included in the letter (e.g. programme of study, dates of study). This type of information cannot be released by telephone or email and cannot be requested by a third party.
5. We need information on a current student’s performance
If a transcript of studies is required, the student should contact Student Records directly at regstudentrec@abertay.ac.uk Transcripts for current students are issued directly to the student unless the student authorises the transcript to be sent directly to an employer. Current students have access to an unofficial copy of their transcript which they can download themselves from the university portal OASIS.

Transcripts cannot be issued by email or fax and we will not confirm details of study records by telephone.
6. We are seeking a reference for a former student
If a former student requires a reference, he or she should provide you with the name and contact details of an academic adviser (for example programme, year or personal tutor) who the student has approached and who has agreed to act as a personal referee. If that member of staff is no longer employed by the University, the student should identify another current member of staff who you can contact.
7. We have sent you a request for a personal reference for a former student
If you have provided the name and contact details of the member of staff who has agreed to provide the reference, we are happy to forward it for you. Otherwise, we will wait for you to provide this information; we do not retain contact information for former students and cannot therefore ask them for this information directly.
We will retain reference requests for forwarding for one week. Please ensure that you send requests for personal references directly to the named referee, and contact them directly with any enquiries.
8. Can I ask a former student of Abertay for information on qualifications/academic performance?
All graduates of the institution receive a certificate of award and full academic transcript which should provide all the information required by potential employers. The former student should be able to provide these directly. All students who leave Abertay without graduating are given a full academic transcript which should provide all the information required by potential employers.
9. We need information on a former student’s dates of attendance, or to verify a student's certificate or transcript

10. We need information on a former student’s course content
Registry will normally retain course/programme and module information for ten academic sessions. For example, in 2009/10 we will normally have records from session 1999/2000. The former student should apply for Course/Module Information via the Abertay Online Store - https://onlinestore.abertay.ac.uk/ This information cannot be released by telephone , fax or email.
11. We are seeking information on a former student who studied with you many years ago
The University of Abertay was awarded university status in 1994. The Open University has custody of all CNAA records – the awarding body for the institution prior to the award of university status. We will endeavour the assist with any such requests.
However, complete information may not be available from us and we would recommend that you liaise with the Open University directly. Please see the Open University website for further information.
